We are currently looking for a dynamic, qualified and motivated Senior Purchasing Officer with a passion for agriculture to join our team. Within this role you support the Head of Procurement with various tasks from the initial clarification of orders, to negotiating with suppliers and the complete purchasing process of orders.
Tasks and responsibilities:
In this role you will report to the Head of Procurement and your responsibilities will comprise:
• Prompt processing of received purchasing requests by immediate clarification of unclear issues , prioritization and digitalization of requests on the server.
o Acquiring at least two reasonable quotations for requested items that are published on the server.
o Preparing a logical and clear decision making memo for Head of Procurement, department head and Managing Director.
o Accurate and correct preparation of order documents, approved and authorized by the responsible managers.
o Immediate informing of the accounting department and responsible storekeeper about the order and its volume.
o Providing the supplier on an adequate and reliable way with the order.
• Ensuring a professional, correct and prompt purchasing process of ordered items according to agreed procedures and timelines, containing the following steps:
o Timely organization of purchasing trips
o Receipt of items and documents according to their requested quality and quantity against payment of goods to legitimate beneficiary.
• Ensuring a professional, correct and prompt delivery process of purchased items according to agreed procedures and timelines, containing the following steps:
o After a security check of purchased items and delivered documents immediate handing over of items and documents to relevant storekeeper.
• Proactive approach against business that is having any negative result/effect for the company.
• Regular updating of the request and order progress.
• Ensuring that all requests and issues are following the complete processes according to agreed procedures.
• Fast and professional communication with suppliers.
• Organizing all other topics to fulfill purchasing process of KPL in a professional way.
• Providing reports, statistics on demand of Head of Procurement, Managing Director or other authorized managers.
• Responsible for different strategic procurement projects according to company needs and requirements.
• Covering any procurement staff in case of leave or another situation that requires a handing over of responsibility.
• Ensuring a proper written handing over of all documents and responsibility to selected person according to agreement in case of leave or another situation that requires a handing over of responsibility.
Profile:
A candidate envisaged for this role will have:
• Education: Bachelors degree in Economics or Procurement (a specification in warehousing would be beneficial)
• Work experience: Minimum 2 years of comparable full-time employment.
• Fluent written and Spoken English and Kiwahili are essential and the candidate must demonstrate clear and effective verbal and written communication .
• Personality: Dynamic, reliable, conscientious, motivated, proactive, hard-working, innovative, eager to learn and work with others, with passion to work in a product-oriented and operational context.
• Skills: Strong Windows and Microsoft Office proficiency and basic knowledge about IT systems/databases.
• An Ability to operate with limited supervision, dedicated team player with a strong sense of ownership
• Strict attention to detail, high performance and an ability to organize time effectively.
• Good negotiation skills.
• An ability to work well under time pressure
• Other: Experience with ERP System.
• Employment start date: As soon as possible
